What is AI knowledge management?

Traditional knowledge management assumes someone files, tags and maintains knowledge. In practice that is exactly what slips: the wiki goes stale, the shared drive grows, and in the end only one person knows the answer. AI knowledge management turns this around. The AI reads the documents, folders and mailboxes where your knowledge already lives and makes it findable through plain-language questions.

What matters is not the answer alone but its evidence. yeos points every answer to the document and passage it rests on; when you open a cited PDF, the passage is highlighted. A search becomes an answer you can check.

02

Search company knowledge without reorganizing it

yeos connects to the places your knowledge lives today: SharePoint, Teams and OneDrive sync continuously, websites can be imported, and files such as PDF, Word, Excel, CSV or Markdown can be uploaded directly. Tables in Excel files are stored as structured data, so questions about numbers are answered more precisely. Connectors add mail, Jira, Confluence, Slack or SAP.

Not all knowledge belongs to everyone. Policies and templates sit at organization level; project, customer or department knowledge sits in workspaces that only their members can see. A question asked in a workspace searches both together.

03

Keep knowledge current, not just findable

The most common source of error is not missing knowledge but conflicting knowledge: three versions of a policy, an exception agreed in an email, minutes that overturn an earlier decision. yeos surfaces such contradictions instead of quietly picking the most plausible version.

The yeos Brain also records what was decided, promised or left open in conversations and documents – each with its origin. Later, you can trace what was decided, when and on what basis, and which knowledge gap is still open.

What teams use AI knowledge management for

In service: “Which maintenance interval applies to unit XY?” In sales: “What did we promise customer Z on the last order?” In HR: “Which expense rule applies to training courses?” In project management: “What did we decide about the façade on the last project?” And during onboarding, new hires ask yeos instead of interrupting experienced colleagues.

05

Limits: what AI knowledge management does not solve

AI only finds what has been written down somewhere. Knowledge that lives only in people’s heads stays invisible; yeos can point out such gaps, but a person has to close them. Likewise, an outdated document remains a source until someone archives it. Contradiction warnings help, but they do not replace maintenance.

yeos is not a document management system and does not fulfil retention obligations. Whoever connects a source decides who can see it: access follows organization and workspaces, not the permissions of individual files in the source system.

Worked example

From question to evidenced answer

Question

Which maintenance interval applies?

A service technician on the road asks by voice for the interval of a customer’s unit.

Sources

Manual, report and email

  • Maintenance manual from SharePoint
  • Service report from the last visit
  • Email with a customer-specific exception

Analysis

Cite and reconcile

  • Find the relevant passages
  • Flag the gap between manual and email
  • Link sources to the answer

Review

A person decides, the Brain remembers

The technician opens the highlighted passages and clarifies the exception. The Brain records the decision with its source.

What improves

  • 01

Less time searching folders, mailboxes and old project archives.

  • 02

Answers with sources instead of statements you have to trust.

  • 03

Conflicting or outdated documents surface earlier.

  • 04

Decisions and commitments stay findable when people change roles.

Frequently asked questions about AI knowledge management

How is AI knowledge management different from full-text search?
Full-text search returns a list of files that contain a word. AI knowledge management answers the question itself, combines the relevant passages from several documents and cites the sources – even when the question uses different words than the document.
Do we have to move our documents to yeos?
No. SharePoint, Teams and OneDrive are connected directly and synced continuously. Files that are not in a connected system can be uploaded as well.
How does yeos handle outdated or conflicting knowledge?
yeos shows which document and version a statement comes from and surfaces differences between sources. The responsible person decides which version applies; outdated documents should be archived.
Where is the data stored?
yeos is operated in Switzerland, and your documents are not used to train third-party AI models. Before rolling out, still check which sources are connected and who can see them.
