Why quotes take so much time

Most quotes are not new. There is a similar job from last year, standard line items, familiar terms. Still, every quote starts with searching: find the old quote, copy the lines, check the current price list, adapt the text.

That is where the usual mistakes happen: a price from the outdated list, a forgotten discount, a special promise that only existed in an email. AI can take over this groundwork – if it works from your own documents and shows what each line is based on.

02

How yeos drafts a quote

It starts with the request: a customer email, notes from a site visit or a voice memo. yeos looks for comparable past quotes, the matching items in your price list and the relevant product documents. Tables in Excel price lists are read as structured data.

The result is a Word document in your own quote template. Placeholders such as customer, date or project are filled in, and line items appear as table rows in the template’s layout. In the chat answer, every line shows which source it came from.

03

Customer context and terms

A good quote knows the history. With the mailbox connected, yeos can include the email thread with the customer: earlier discounts, special commitments or open points from the last job. With SAP connected, yeos can look up additional data there.

For recurring requests you can set up an agent that prepares drafts on a schedule or in response to an event. Nothing is sent without your approval.

04

Who benefits

Trades and construction: quotes from measurements, photos and voice memos from the site visit. Machinery and service: spare-part and maintenance quotes from parts lists and service contracts. Service firms: proposals from service descriptions and past projects. What they share: many similar quotes and documents that already exist.

05

Limits: what you still check yourself

yeos works with the prices in your sources. If the price list is outdated, so is the draft. Lines without a matching source deserve particular attention before sending. Complex calculations with material surcharges, tiered prices or margin rules stay in your ERP or costing tool.

Terms and conditions and legal wording belong in the template, not in the AI’s answer. yeos produces a draft; price, content and sending remain the responsibility of the person who approves the quote.

Frequently asked questions about quotes with AI

Can AI create quotes automatically?
AI can prepare quote drafts from past quotes, price lists and product documents. Review, adjustments and sending stay with your team.
Can yeos use our own quote template?
Yes. Upload your template as a macro-free DOCX or DOTX file. yeos fills placeholders and repeats table rows for line items; the result is a DOCX file in your template’s layout.
Where do the prices in the quote come from?
From the sources you approve, such as an Excel price list or past quotes. yeos shows which source a line comes from; if a price list is outdated, update it first.
Can I prepare a quote on site?
Yes. On your phone, dictate notes by voice and photograph the situation or a type plate. Review the draft later, before it is sent.
